Who are we? Coaching For You

Coaching For You provides personally tailored career guidance, coaching and CV writing services.

What does this Policy cover? We take your personal data very seriously. This policy:

What personal data do we collect about you? Coaching For You only collects and processes your personal data in a confidential and lawful way.

We collect information and personal data given by you to allow us to deliver a bespoke workshop to meet your learning needs.  This data may be collected by the following means: over the telephone, by email, Teams face to face contact. Personal data includes your CV (includes educational records, work history & remuneration), notes taken during initial consultations and coaching sessions, your telephone number, email address and address.

Where do we collect personal data about you from? The following are the different sources we may collect personal data about you from:

Website Usage: Coaching For You uses 'SquareSpace.' to host the website. Coaching For You does not collect personal data about you when you visit the website, however anonymous tracking data is collected and analysed by Google Analytics to help determine the effectiveness of advertising. As individuals cannot be identified by this data it is not considered to be covered by the General Data Protection Regulations.

Email: During your initial enquiry by telephone or email, only personal data relevant to the provision of career services to you is requested. Consent is deemed to have been given, by you providing the requested personal data about yourself. To withdraw your consent and have your personal data deleted, you will need to contact Coaching For You by email.

Invoice/Payment records – Legal - Invoice/Payments are processed by PayPal and Debit/Credit Card Transfers, according to their privacy conditions. Records held for financial reporting and tax purposes are limited to your name, services purchased, price paid and dates of delivery.

Service Provision - Personal data given during the initial enquiry will be used to provide you with the contracted career service. To fulfil the contracted career service, additional relevant personal information may also be requested from you, by telephone, email, Teams or face to face contact.

Why we use your personal data? We use your personal data to create a bespoke workshop that caters to your training needs, match your skills, experience and education with a potential employer.  It will also be used to support mentoring programmes and career advice. We will initially collect basic information on you such as contact details, CV and, when relevant, contact you to discuss the any further training requirements.

Your personal data will be treated in the strictest confidence and is not shared with third parties. However it may be necessary to share records held for financial reporting and tax purposes with an accountant and/or HMRC.

All personal data held by Coaching For You is stored securely in order to maintain confidentiality and minimise the risk that records may be viewed by people outside the company.

How long do we keep your personal data for? We keep your information in accordance as follows:

Delegate Consultation notes, CV and coaching notes: 12 months from our last contact with you.

Personal data not used for providing a service is kept for 6 months, unless consent is withdrawn in which case it will be deleted immediately.

Payment records for accountancy and HMRC purposes are retained for 7 years.

All personal data exceeding the above timescales will be securely deleted.

What happens if you do not provide us with the information we request or ask that we stop processing your information? If you do not provide the your CV/personal data necessary or withdraw your permission for the processing of your CV/personal data, we may not be able to personalised the workshop to meet your training needs and as result deliver a generic workshop.

Do we make automated decisions concerning you? No, we do not carry out automated profiling.

Do we transfer your data outside the EEA?

No.  Your data is not transferred outside of the EEA.

What rights do you have in relation to the data we hold on you? By law, you have a number of rights when it comes to your personal data. Further information and advice about your rights can be obtained from the data protection regulator in your country.

Rights:

1.      The rights to be informed - You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is why we’re providing you with the information in this Policy.

2.      The right of access – You have the right to obtain access to information we hold about you. Please email us asking for access to your data.

3.      The right to rectification – If the information we hold about you is incorrect you have the right to request for this to be amended.

4.      The right to be removed – You have the rights to have your data deleted/removed when there is no reason for us to keep/store it.

5.      The right to object to processing – You have the right to object to certain processing including direct Marketing i.e. you do not wish to be contacted about future workshops.

6.      The right to submit a complaint – You have the right to submit a complaint.  Complaints should be send by email.

7.      The right to withdraw consent – If you have given your consent to anything we do with your personal data, you have the right to withdraw consent at a any point. (although if you do so, it does not mean that anything we have done with your personal data with your consent up to that point is unlawful). This includes your right to withdraw consent to us using your personal data for marketing purposes.

We usually act on requests and provide information free of charge, but may charge a reasonable fee to cover our administrative costs of providing the information for:

baseless or excessive/repeated requests, or further copies of the same information. Alternatively, we may be entitled to refuse to act on the request.

Please consider your request responsibly before submitting it. We’ll respond as soon as we can. Generally, this will be within one month from when we receive your request but, if the request is going to take longer to deal with, we’ll come back to you and let you know.
